Let’s say you’re interested in visualizing 3 KPIs (Revenue, Profitability, and Cash Flow) from QuickBooks Online. At a high-level overview on our end we’ll:

    1. Prepare the data
      • Assess the data (e.g. Sage, Xero and QuickBooks Online) in view/read only-mode using Power BI OR log into your system remotely to setup Power BI, ensuring it includes the necessary information for KPI calculation (e.g. revenue, expenses, cash flow, profit).
      • Set up data connectors to extract relevant financial data from either the 2 ways mentioned above. (This may involve designing custom data queries and creating data models).
    2. Model the data
      • Define and calculate the KPIs (Revenue, Profitability, and Cash Flow) in Power BI.
        • This involves creating custom-coded measures and calculated columns (DAX Programming language) based on the extracted data.
    3. Visualize and analyze the data
      • Design and create reports and visualizations, such as charts and dashboards to represent the KPIs in a user-friendly, digestible and interactive manner.
      • Provide training session(s) on how to use and navigate the Power BI reports and dashboards effectively and make any adjustments needed based on feedback if needed.
    4. Deploy and maintain assets
      • Distribute source file(s) via Email OR Deploy the finalized/approved Power BI solution using Microsoft’s cloud-based Power BI hosting-Service.

Some questions/concepts we like our clients to be familiar with:

  • Does the client know what they want (functionally) or do they need us to help them figure it out?
  • Is the IT architecture in place or do they need it from us?
  • How many data sources? How clean is the source data? How easy is it to work with? These questions will help determine the complexity of the work and the time it’ll take.
  • Would you be open to incorporating any outside/public-data with existing data? Sometimes clients have no idea this type of data is even available.
  • Is the client doing the database administration setup and maintenance, or are we? If us, we will keep in mind performance tuning as the data volume increases.
  • How much do they want to iterate/change after the initial scope?
  • How sophisticated does the client want there visualizations to be?
    • Here is what’s possible:
      • Advanced maps, bookmarks (switch between charts on the same dashboard page using a button), filters, etc.
In the end, a 2-3 week implementation for a low 4-figure spend is either a proof of concept, a small pilot, or at best a very contained production solution for a small business or department. Which is not a bad way to start in order to initiate a data quality audit, discovery, test some hypotheses, get some data-issues out of the way and light the path ahead.
